Subject: Quick Question About Order #1045 Personalization
Hi John,
I'm starting work on your personalized certificate!
Quick question: You mentioned "Marketing" for the course name.
Is the full name "Advanced Digital Marketing" or just "Marketing"?
Also, please confirm your full name for the certificate:
John Smith OR John Michael Smith?
Let me know and I'll have it ready for you!
Best,
[Your Name]
[Shop Name]

Response time: Usually within hours, don’t delay asking

Before you start:

  1. Open master template

    • Use your design software (Adobe, Canva, etc.)
    • Locate template file
  2. Gather customer data

    • Have order details visible
    • Note any special requests
  3. Set aside time

    • Don’t rush
    • Focus on quality

Step-by-step:

1. Open template

File: certificate-template-master.ai (Adobe Illustrator)
or
File: certificate-template-master.psd (Photoshop)
or
Template in Canva/other tool

2. Replace placeholder text

Before:

Certificate of Achievement
This certifies that [FULL NAME]
has successfully completed [COURSE NAME]
on [DATE].

After:

Certificate of Achievement
This certifies that John Michael Smith
has successfully completed Advanced Digital Marketing
on June 15, 2024.

Attention to detail:

  • Match capitalization to customer’s input
  • Preserve spacing
  • Check alignment
  • Verify font consistency

3. Add optional elements

If customer provided message:

Personal Note:
"Thank you for an amazing course!"

Position appropriately:

  • Bottom of certificate
  • Decorative box
  • Smaller font size

4. Adjust if needed

Long names:

If name too long:
- Reduce font size slightly (no smaller than 80% of original)
- Adjust spacing/kerning
- Move to two lines if design allows

Special characters:

Ensure characters display correctly:
é → é (not e)
ñ → ñ (not n)
ü → ü (not u)

5. Proofread carefully

Check:

☐ Customer name spelled exactly as provided
☐ Date format correct (June 15, 2024 vs. 15/06/2024)
☐ Course name matches order
☐ No typos introduced
☐ All custom text readable
☐ Design elements still aligned
☐ Colors correct

Pro tip: Read backwards to catch typos (Smith Michael John)

❌ Late night/early morning (seems automated)
❌ Weekends (if you don't provide weekend support)

'John M. Smith' not 'John Michael Smith'. Can you fix it?"

Determine if revision covered:

"All fixed! Your updated certificate with 'John M. Smith' is ready:
    [Download Link]
    Sorry for the confusion!"

Timeline: Same day if possible, within 24 hours max

Customer wants design change:

Customer: "Can you change the color scheme to blue instead of gold?"

Your response:

"I'd be happy to create a blue version for you!
Since this is a design change (different from original specifications),
there's a $10 revision fee.
Would you like me to proceed? I can have it ready in 24 hours.
[Pay for Revision - $10] (link to Shopify draft order or invoice)

After payment:

"Payment received! I'll have your blue version ready shortly."
