Understanding File Categories

Categories help you organize your digital file library for easier management and navigation. Learn how to create and use categories effectively.

Categories are organizational labels you can assign to files and packs. Think of them as folders or tags that group related digital products together.

  • Organization: Keep large file libraries organized
  • Quick Filtering: Find files faster
  • Better Management: Identify file types at a glance
  • Reporting: Track downloads and sales by category
  • Workflow: Streamline product creation process

  1. Click Categories in the main navigation
  2. Click Create New Category button
  1. Enter category name
    • Example: “eBooks”, “Video Courses”, “Templates”
  2. (Optional) Add description
  3. Click Save
  1. During file upload or edit
  2. Click Category dropdown
  3. Select + Create New Category
  4. Enter category name
  5. Click Create

If you have many categories to create:

  1. Go to Categories page
  2. Use Import Categories feature (if available)
  3. Or create them one by one manually

  1. Upload a file
  2. In the file details form, click Category dropdown
  3. Select a category
  4. Save
  1. Go to Files & Packs
  2. Click on a file to edit
  3. Select Category from dropdown
  4. Click Save
  1. Check boxes next to multiple files
  2. Click Bulk Actions
  3. Select Assign Category
  4. Choose category
  5. Click Apply

Access your categories in two places:

Full management interface with:

  • List of all categories
  • File count per category
  • Edit and delete options
  • Category descriptions

Quick access for filtering:

  • Sidebar filter in Files & Packs page
  • Click category to filter files
  • See file count next to each category
  1. Go to Categories page
  2. Click the Edit button (pencil icon) next to category
  3. Modify:
    • Category name
    • Description
  4. Click Save
  1. Navigate to Categories page
  2. Click Delete button (trash icon)
  3. Confirm deletion

What Happens:

  • ✅ Category label removed
  • ✅ Files remain in your library
  • ✅ Files become uncategorized
  • ✅ Product mappings unaffected

Best for: Large catalogs with multiple product types and topics


  • ✅ Use clear, descriptive names
  • ✅ Be consistent with naming conventions
  • ✅ Use plural forms (“Templates” not “Template”)
  • ✅ Capitalize properly (“Marketing eBooks”)
  • ✅ Keep names concise (2-3 words max)
  • ❌ Use vague names (“Misc”, “Other”, “Stuff”)
  • ❌ Create too many categories (harder to manage)
  • ❌ Use special characters or emojis
  • ❌ Make names too long
  • ❌ Create duplicate or similar categories

Bad Examples:

  • Misc Files
  • untitled-category-1
  • 🎨 Design Stuff!!!
  • Really Long Category Name That Describes Everything

  1. Go to Files & Packs
  2. Look at left sidebar (or filter dropdown)
  3. Click a category name
  4. Files list filters to show only files in that category
  • Click All Files in sidebar
  • Or click the X next to category name
  • Or click Clear Filters button
  1. Select a category
  2. Use search bar to further filter
  3. Results show files matching both category AND search term

View category insights on the Categories page:

  • eBooks: 47 files, 234 total downloads
  • Templates: 89 files, 567 total downloads

  • File Count: Number of files in category
  • Pack Count: Number of packs using files from this category
  • Total Downloads: All-time downloads for files in category
  • Storage Used: Total size of files in category

  • Purpose: Organization and filtering
  • Visibility: Admin-only (not visible to customers)
  • Flexibility: One file can have one category
  • Function: Helps YOU manage files
  • Purpose: Bundle files for sale together
  • Visibility: Can be delivered to customers as ZIP
  • Flexibility: One file can be in multiple packs
  • Function: Helps CUSTOMERS get multiple files at once

Use Both: Categorize packs too! Example: A pack called “Social Media Bundle” can have category “Templates”.


  1. Go to Files & Packs
  2. Click FilterNo Category
  3. All uncategorized files appear
  • Easier to find files as library grows
  • Better organization for team collaboration
  • Faster workflow when mapping products
  • Cleaner reporting and analytics

Recommendation: Make it a habit to assign categories during upload.


  • Maximum Categories: No hard limit (unlimited)
  • Recommended: 5-20 categories for most stores
  • Too Few: Hard to organize (everything mixed together)
  • Too Many: Hard to choose, defeats the purpose

Sweet Spot: 8-15 well-defined categories


If you have duplicate or overlapping categories:

  1. Decide which category to keep
  2. Re-assign files from old category to new category:
    • Filter by old category
    • Select all files
    • Bulk assign to new category
  3. Delete the empty old category

If one category has too many files:

  1. Create new sub-categories
    • Example: Split “Templates” into “Social Templates” and “Business Templates”
  2. Review files in large category
  3. Re-assign files to more specific categories
  4. Delete or rename original category
  1. Go to Categories
  2. Click Edit next to category
  3. Change name
  4. Click Save
  5. All files automatically update with new category name

Add descriptions to categories for team clarity:

  1. Edit category
  2. Add description in Description field
    • Example: “All PDF eBooks under 10MB, English language only”
  3. Save

Descriptions help when:

  • Working with team members
  • Defining category rules
  • Documenting organization system

Create workflows based on categories:

Example Workflow:

  1. Upload files → Assign to “Pending Review”
  2. After QA → Move to appropriate category
  3. After mapping to products → Move to “Live Products”
  4. After discontinuing → Move to “Archived”

Solution:

  • Refresh the page
  • Check if category was saved successfully
  • Verify you’re on correct shop (if managing multiple stores)

Solution:

  • Clear all filters and try again
  • Check if files actually have that category assigned
  • Refresh browser cache

Possible reasons:

  • Category in use (has files assigned)
  • Browser error

Solution:

  • Re-assign files to another category first
  • Refresh and try again
