Understanding File Categories
Categories help you organize your digital file library for easier management and navigation. Learn how to create and use categories effectively.
What Are Categories?
Section titled “What Are Categories?”Categories are organizational labels you can assign to files and packs. Think of them as folders or tags that group related digital products together.
Benefits of Using Categories
Section titled “Benefits of Using Categories”- Organization: Keep large file libraries organized
- Quick Filtering: Find files faster
- Better Management: Identify file types at a glance
- Reporting: Track downloads and sales by category
- Workflow: Streamline product creation process
Creating Categories
Section titled “Creating Categories”Method 1: From Categories Page
Section titled “Method 1: From Categories Page”- Click Categories in the main navigation
- Click Create New Category button
- Enter category name
- Example: “eBooks”, “Video Courses”, “Templates”
- (Optional) Add description
- Click Save
Method 2: While Uploading Files
Section titled “Method 2: While Uploading Files”- During file upload or edit
- Click Category dropdown
- Select + Create New Category
- Enter category name
- Click Create
Method 3: Bulk Category Creation
Section titled “Method 3: Bulk Category Creation”If you have many categories to create:
- Go to Categories page
- Use Import Categories feature (if available)
- Or create them one by one manually
Assigning Files to Categories
Section titled “Assigning Files to Categories”During Upload
Section titled “During Upload”- Upload a file
- In the file details form, click Category dropdown
- Select a category
- Save
After Upload
Section titled “After Upload”- Go to Files & Packs
- Click on a file to edit
- Select Category from dropdown
- Click Save
Bulk Category Assignment
Section titled “Bulk Category Assignment”- Check boxes next to multiple files
- Click Bulk Actions
- Select Assign Category
- Choose category
- Click Apply
Managing Categories
Section titled “Managing Categories”Viewing Categories
Section titled “Viewing Categories”Access your categories in two places:
1. Categories Page
Section titled “1. Categories Page”Full management interface with:
- List of all categories
- File count per category
- Edit and delete options
- Category descriptions
2. Files & Packs Filter
Section titled “2. Files & Packs Filter”Quick access for filtering:
- Sidebar filter in Files & Packs page
- Click category to filter files
- See file count next to each category
Editing Categories
Section titled “Editing Categories”- Go to Categories page
- Click the Edit button (pencil icon) next to category
- Modify:
- Category name
- Description
- Click Save
Deleting Categories
Section titled “Deleting Categories”- Navigate to Categories page
- Click Delete button (trash icon)
- Confirm deletion
What Happens:
- ✅ Category label removed
- ✅ Files remain in your library
- ✅ Files become uncategorized
- ✅ Product mappings unaffected

Category Naming Best Practices
Section titled “Category Naming Best Practices”- ✅ Use clear, descriptive names
- ✅ Be consistent with naming conventions
- ✅ Use plural forms (“Templates” not “Template”)
- ✅ Capitalize properly (“Marketing eBooks”)
- ✅ Keep names concise (2-3 words max)
DON’T:
Section titled “DON’T:”- ❌ Use vague names (“Misc”, “Other”, “Stuff”)
- ❌ Create too many categories (harder to manage)
- ❌ Use special characters or emojis
- ❌ Make names too long
- ❌ Create duplicate or similar categories
Good Examples:

Bad Examples:
- Misc Files
- untitled-category-1

- Really Long Category Name That Describes Everything
Filtering Files by Category
Section titled “Filtering Files by Category”In Files & Packs View
Section titled “In Files & Packs View”- Go to Files & Packs
- Look at left sidebar (or filter dropdown)
- Click a category name
- Files list filters to show only files in that category
Clear Category Filter
Section titled “Clear Category Filter”- Click All Files in sidebar
- Or click the X next to category name
- Or click Clear Filters button
Combine with Search
Section titled “Combine with Search”- Select a category
- Use search bar to further filter
- Results show files matching both category AND search term
Category Statistics
Section titled “Category Statistics”View category insights on the Categories page:

Available Metrics:
Section titled “Available Metrics:”- File Count: Number of files in category
- Pack Count: Number of packs using files from this category
- Total Downloads: All-time downloads for files in category
- Storage Used: Total size of files in category
Categories vs. Packs
Section titled “Categories vs. Packs”Categories
Section titled “Categories”- Purpose: Organization and filtering
- Visibility: Admin-only (not visible to customers)
- Flexibility: One file can have one category
- Function: Helps YOU manage files
- Purpose: Bundle files for sale together
- Visibility: Can be delivered to customers as ZIP
- Flexibility: One file can be in multiple packs
- Function: Helps CUSTOMERS get multiple files at once
Use Both: Categorize packs too! Example: A pack called “Social Media Bundle” can have category “Templates”.
Uncategorized Files
Section titled “Uncategorized Files”Finding Uncategorized Files
Section titled “Finding Uncategorized Files”- Go to Files & Packs
- Click Filter → No Category
- All uncategorized files appear
Why Keep Files Categorized
Section titled “Why Keep Files Categorized”- Easier to find files as library grows
- Better organization for team collaboration
- Faster workflow when mapping products
- Cleaner reporting and analytics
Recommendation: Make it a habit to assign categories during upload.
Category Limits
Section titled “Category Limits”- Maximum Categories: No hard limit (unlimited)
- Recommended: 5-20 categories for most stores
- Too Few: Hard to organize (everything mixed together)
- Too Many: Hard to choose, defeats the purpose
Sweet Spot: 8-15 well-defined categories
Common Category Management Tasks
Section titled “Common Category Management Tasks”Merge Two Similar Categories
Section titled “Merge Two Similar Categories”If you have duplicate or overlapping categories:
- Decide which category to keep
- Re-assign files from old category to new category:
- Filter by old category
- Select all files
- Bulk assign to new category
- Delete the empty old category
Split a Large Category
Section titled “Split a Large Category”If one category has too many files:
- Create new sub-categories
- Example: Split “Templates” into “Social Templates” and “Business Templates”
- Review files in large category
- Re-assign files to more specific categories
- Delete or rename original category
Rename a Category
Section titled “Rename a Category”- Go to Categories
- Click Edit next to category
- Change name
- Click Save
- All files automatically update with new category name
Advanced Category Features
Section titled “Advanced Category Features”Category Descriptions
Section titled “Category Descriptions”Add descriptions to categories for team clarity:
- Edit category
- Add description in Description field
- Example: “All PDF eBooks under 10MB, English language only”
- Save
Descriptions help when:
- Working with team members
- Defining category rules
- Documenting organization system
Category-Based Workflows
Section titled “Category-Based Workflows”Create workflows based on categories:
Example Workflow:
- Upload files → Assign to “Pending Review”
- After QA → Move to appropriate category
- After mapping to products → Move to “Live Products”
- After discontinuing → Move to “Archived”
Troubleshooting
Section titled “Troubleshooting”Category Not Appearing in Dropdown

- Refresh the page
- Check if category was saved successfully
- Verify you’re on correct shop (if managing multiple stores)
Files Not Filtering by Category
Section titled “Files Not Filtering by Category”Solution:
- Clear all filters and try again
- Check if files actually have that category assigned
- Refresh browser cache
Cannot Delete Category
Section titled “Cannot Delete Category”Possible reasons:
- Category in use (has files assigned)
- Browser error
Solution:
- Re-assign files to another category first
- Refresh and try again
